Job Description

  • Translate documents and correspondences from English into Vietnamese and vice versa.
  • Support the Legal team in Pink Books application.
  • Maintain the filing system (hard copy and computer-based database) for all of the company’s important documents, in-coming and out-going correspondences, licenses, permits, approval papers, agreements, contracts, etc.
  • Maintain, record and issue document reference codes as required for tracking purpose.
  • Be responsible and keep track of the circulation of important documents and correspondences among departments within the company as well as to the head office.
  • Notarize, distribute and provide legal documents to concerned departments.
  • Make announcements of organizational and operational changes related to legal and secretariat matters.
  • Maintain schedules and calendars; organize and coordinate meetings for the company’s board of management, Members’ Council of joint ventures or subsidiaries, or the board of management with stakeholders and partners. This includes, but does not limit to, venue booking, circulation of notices and minutes, agenda preparation, and meetings’ minute taking.
  • Assist the direct superior to research legal administration formalities, procedures and regulations when required.
  • Be responsible for daily administrative matters in the department.
  • Perform all other secretariat duties as required.

Job Requirement

  • University Degree.
  • Fluent spoken and written English.
  • Computer literacy (Word, Excel, PowerPoint, Outlook…).
  • Good interpersonal skills and communication.
  • Ability to learn and adaptability; Maturity, confidence, carefulness.
  • Ability to work independently and in a team under pressure.
  • Minimum 2 years of working experience in the secretarial administrative of multi-national company.
